Shiftray User Terms

These user terms support, but do not replace, the signed client project agreement. The client agreement controls if there is any conflict.

Authorised access

Shiftray is supplied to client organisations under a direct written project agreement. Only an authorised employer, employee or service administrator may use a client workplace. Users must provide accurate account details, protect passwords and invitation links, and notify the employer promptly of suspected unauthorised access.

Employer responsibilities

The employer controls its staff list, rota content, announcements, attendance purposes, corrections and user access. It must provide lawful workforce privacy information, choose a lawful basis, keep permissions current, remove leavers promptly, set appropriate retention periods and avoid unnecessary or inappropriate information in free-text fields.

Attendance and payroll

Clock records assist workplace attendance management. Employers must review exceptions, offline or delayed records and corrections before using information for payroll, disciplinary or other significant decisions. Shiftray does not independently determine wages, employment rights or disciplinary outcomes.

Acceptable use

Users must not attempt to access another workplace, share QR codes outside the authorised location, interfere with security, upload unlawful or malicious content, misuse another person’s account, or use Shiftray to discriminate, harass or conduct unlawful surveillance.

Availability and support

Internet, browser, cloud-provider and device failures can affect availability. Any support hours, service levels, backups, maintenance and recovery commitments are those stated in the client agreement. Employers should keep appropriate business-continuity arrangements for critical staffing and payroll processes.

Intellectual property

Unless the client agreement states otherwise, KP Strategic Collective retains rights in the Shiftray platform, reusable software, design system and documentation. The client retains responsibility for and rights in its branding, content and workplace data.

Suspension and termination

Access may be suspended where reasonably necessary to protect security, comply with law, address misuse or follow the client agreement. On termination, export, deletion, transition support and any fees are handled under the client agreement and DPA.

Liability and governing terms

Commercial warranties, liability limits, indemnities, governing law, dispute resolution, price and project scope must be agreed in the signed client agreement. These public user terms do not create an online subscription or alter that agreement.
